A leading distributor in North Miami with a healthy, friendly culture seeks an accomplished, professional Executive Assistant to the CEO to join its team. The candidate must have excellent administrative, interpersonal, verbal and written communications and the ability to deal with moderately complex situations with sophistication.
Responsibilities
• Organize and schedule appointments
• Plan meetings including food/drinks and take detailed minutes when needed
• Write and distribute email, correspondence memos, letters and forms
• Assist in the preparation of regularly scheduled reports
• Assist with the planning and execution of company events, conferences, and functions
• Develop and maintain a digital filing system
• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
• Book travel arrangements
• Submit and reconcile expense reports
• Provide general support to office staff
• Act as the point of contact for property management issues
• Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
• Data entry for sales and operations
• Maintain customer contact lists
• Maintain vendor contact lists
• Prepare and monitor invoices
• Handle sensitive information in a confidential manner
• Resolve administrative problems
• Coordinate repairs to office equipment
• Organize the tasks/reminders for CEO that require escalation
Requirements and skills
• 3-5 years in an Executive Assistant or similar role
• Knowledge of office management systems and procedures
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Proficiency in QuickBooks (Preferred)
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
• Strong interpersonal skills and ability to manage relationships with diverse stakeholders
• High level of professionalism and discretion
• Ability to work independently and collaboratively in a fast-paced environment
• High School degree or equivalent required, Associate’s or Bachelor’s degree preferred
